Q13338 - HOWTO: Backup OPS32 Facility Data

This is accessed via OPS 32 Menu: Utilites, Backup Data

The backup utility provides a method of copying the data for a facility to a compressed (.zip) file in a new location in case the original data can no longer be accessed (the result of a hard drive crash for instance). 
The new location is preferably any other physical drive such as a floppy disk or a network drive. 
The backup procedure creates a compressed file which includes all of the files in the Data Directory of the facility being backed up.

To backup your data:

  • · Select Backup Data from the Utilities menu.
  • · Select the facility to backup.
  • · Select the destination drive and directory (where the backup file will be written).  Remember to double-click a directory folder to open it.  Your selection will be displayed in yellow text next to the words "Destination Directory:" on the Backup dialog window. preferably the A-Drive.
  • · Click the Backup button.
  • · Follow the instructions on the screen.
  • · After the backup file has been written, you will be asked if you want to verify the integrity of the backup file.  This tests the backup file to see if the files have been properly compressed.  Performing this test is strongly recommended as the backup file will do you no good if what's inside it is damaged.

Recommended Data Backup Practices:

Making a backup copy of your data on a regular basis is essential.  You should make a backup of your data at least once a week and, if you're using floppies, rotate at least two sets of backup disks.  For example:

Last week Backup Set 1 was used
This week Use Backup Set 2
Next week Use Backup Set 1

Auto Backup sets how often to Auto Backup your OPS 32 facility database in days.  Valid settings are: Disabled, Every 7 Days, Every 14 Days, Every 31 Days, and Every 90 days.  If Auto Backup is set to any of the Every xx Days, OPS 32 will backup your facility to the backup folder (usually C:\OPS32)
