This article explains how to set up LabCal in order to import data into Hach WIMS Client and update LabCal Sample Tests.

There are 6 basic areas that need to be setup.

1. LabCal Licensing Setup.

• First, the facility must be setup to use LabCal. The Hach WIMS License must include LabCal in order to continue.
  
• In Hach WIMS Client, click on System Setup > System Tables > Entire System > Labcal Licensing Setup.
  
  
• Select the facilities to enable and click on the Add Selected button.
  
  
• We now have enabled LabCal for a facility.
  
  
  

2. Variable Setup. 

• Tests will be assigned to variables that hold the result values. In Hach WIMS Client, click on System Setup > Edit/View Variables.
• Locate the variable you want to hold results or create a new variable.
• Follow the directions in Supported variable configurations for interface Q13145 to configure the variable, basically you:
• Select the Interface tab
• Click the Interface To radio button
• Select the interface from the drop down list next to the radio button (you have to configure the interface for Hach WIMS Client for it to show up in the drop down list).
  
  
• That is it, no need to assign values to the two fields since we are going to use LabCal to link to the variable.
  

3. Storet Code Setup.

• The Storet Code in Hach WIMS is synonymous with the EDI Lab Data Analyte Code (Field No. 6). In order to update LabCal the Analyte Code must exist in the Storet Code table.
• Open the Setup Storet Codes by clicking on System Setup > System Tables > Entire System > Storet Code Setup
  
  
  
• You might want to first check to see if the Storet Code exists, click on Find button and search for the Analyte Code (DTR lines, Field No. 6) to add.
• To add a new Storet Code, click on the New button. The Storet Code must match the Analyte Code exactly, you can also enter a description and units. Below shows data from Notepad and our EDI Analyzer.
  
  
  
  
  

4. Personnel Setup.

• Personnel that collect samples can be added here, but the EDI Lab Data State Laboratory Number must be added. The two are configured differently.
• Open up LabCal and select Setup > Personnel
  
  
  
  
• State Laboratory Number - This is Field No. 7 in the Sample Summary (HDR) lines and tells LabCal who analyzed the sample. This is a mandatory field for LabCal to match and must be entered in the Personnel table.
• Click on New button and enter the State Lab Number in the Personnel Code field exactly as it appears in the EDI Lab Data file (HDR lines, Field No. 7)
  
  
  
  
• To see this number in Notepad and from our EDI Analyzer:
  
  
  
  
  
• Enter other information as you desire and the click Save & Close button
  
• Collector Name. This is Field No. 20 in the Sample Summary (HDR) lines and LabCal who took the sample. This field is not mandatory to update LabCal.
• Click on New button and enter the individuals First and Last name, Personnel Code can be anything such as initials.
• There are two ways the interface will search for this person
• Format 1: Lastname, Firstname - If it finds a comma in the Collector Name field then it uses the text before the comma as the last name and after the comma as the first name.
• Format 2: Firstname Lastname - If there is no comma, then the first word is the first name and everything else is part of the last name.
  
  
  
  

5. Test Setup.

• The Storet Code (or Analyte Code) must exist in the LabCal Test table.
• In LabCal, select Setup > Tests
  
  
• You might navigate through the Test table to see if the Storet already exists, if not click on New to create a new Test
• Enter a Name and select the Storet code, and fill in the other fields as you feel appropriate. The only requirement at this point is for the interface to find the Storet Code in the Test table. You can look up the Storet Code using the button with the elipse on it, next to the Storet field.
  
  
  
• Click Save & Close
  

6. Samples Setup.

• The Sample Setup will set up samples that include the Tests from Test Setup.
• In LabCal, select Setup > Samples
  
  
• Click on New button, enter a Name and fill in the other fields as appropriate on the top half of this form.
  
  
  
• On the bottom half, identify which tests will be associated with this sample. Click Add Test button and click Add Test button on next display:
  
  
  
• The next display allows you to pick which Test you want to add. Select all test to add, and click OK button.
  
  
  
• The next part is to schedule when these tests will be performed, and there are many options here
  
  
  
• Click Save Schedule when you have finished, and Save & Close on the next display
• Tests are associated with a sample, now we need to send our results to Hach WIMS Client variables. Click an elipse button to the far right of one of the tests
  
  
  
• Once all the tests have been assigned to a variable, click Save & Close, the new Sample will populate the LabCal calendar
• Last step will be to populate the UD1 field of the Sample with the Lab Sample Number from external lab
1. Double click on the Sample from the LabCal calendar
2. Enter the Lab Sample Number from the External Lab into the Samples UD1 field - In order to ignore the Test Acronym appended to the Lab Sample Number see note below. 
3. Click on the Save Changes & Exit button
   
   
   
• Now the Client is ready to receive data from the EDI Lab Data files.
   

NOTE: In order to ignore the test acronym while matching the Lab Sample Numbers, the acronym should listed in the Suffixlist.ini file located in the same folder as the interface.exe (for example C:\HachWIMS\Q13145\SuffixList.ini).

Example 1: the interface will match these records providing CH is listed in the SuffixList.ini file.:

• EDI file lists Lab Sample "18034-02509CH"
• The Lab Cal Sample UD1 field is set to "18034-02509"

• The Lab Cal Sample UD1 field is set to "18034-02509CH"
